And what a properly configured SMTP server does about it.


Your contact form looks great. A visitor fills it out and hits send. But the email may never arrive in your inbox. No error. No warning. Just silence. This is happening far more frequently as email providers like Gmail, Yahoo, Outlook and others have ramped up their filtering systems for what they consider to be “safe” emails.


The problem with “default” email sending

Most websites have always used stand mail functionality (PHP) that comes bundled with hosting. It had worked great in the past, and often works well after the initial launch of a website, but it can fail after several years or even just a few months, depending on the ever-changing filters your email provider requires. Modern email providers — Gmail, Outlook, and others — are deeply suspicious of messages that arrive without proper credentials.


What SMTP authentication actually does

A dedicated SMTP (Simple Mail Transfer Protocol) server acts as a verified, trusted sender on your domain’s behalf. It proves to receiving mail servers that your emails are legitimate — using three standards that inbox providers now require:

  • SPF Confirms that your domain has authorized this server to send email on its behalf.
  • DKIM Adds a cryptographic signature to every message, proving it wasn’t tampered with in transit.
  • DMARC Ties SPF and DKIM together and tells receiving servers what to do if something doesn’t check out.

Without all three in place, your emails look identical to spam — because spam uses the same loopholes your unprotected site is currently leaving open.


What you actually get

Configuring proper SMTP for your website isn’t just about spam avoidance. It means:

  • Reliable delivery Emails are queued and retried if a server is temporarily unavailable, rather than silently dropped.
  • Consistent inbox placement Authenticated mail builds domain reputation over time, improving deliverability with every send.
  • Bounce visibility You’ll know when an email fails, and why — instead of wondering why nobody’s responding.
  • Security Encrypted connections and authenticated sending prevent your domain from being spoofed by bad actors.

But with that all said, even with the proper SPF, DKIM and DMARC records in your domain’s DNS, email providers are still blocking emails sent from websites. So, many (or all) of the emails sent via the website’s contact forms get quietly routed to spam, or dropped entirely. Either way, you’ve missed a lead.

Setting up SMTP correctly involves creating specific DNS records, authentication keys, installing an SMTP plugin (we use GoSMTP Pro) and ongoing monitoring — the kind of behind-the-scenes work that isn’t visible but absolutely matters. It’s part of what we now offer as an optional add-on when we host and maintain your website.

Options for how we can configure SMTP on your website:

  • OPTION A (+$60/yr) Use an email at your domain If you’re able to create a new email address at your email provider, we can use that address. This usually requires some technical work on your part to get the email address created — maybe something like “smtp@your-domain.com” or “contactform@your-domains.com” along with the SMTP Hostname, Encryption type, SMTP port and password, and then, if using Google Workspace, Gmail, or Outlook… providing the Application Client ID and Application Client Secret. Truth by told, they have made the process very complicated to setup for normal non-techie folks. But if you’re up for the challenge, here are the setup instructions for Google/Gmail/Workspace and Microsoft Outlook 365.
  • OPTION B (+$90/yr) Use an email at our domain If the first option above sounds like mumbo-jumbo or more work than you’re willing to do, then you’ll want to use our SMTP mailer instead, as it doesn’t require you to provide any of the info above. We take care of it all for you and it works just as well! Just tell us you want OPTION B and we’ll take care of the rest!

NOTE: Both options will require the GoSMTP Pro plugin, which is an additional $30 per year. If you’re not sure whether your website has any of this stuff configured, let us know and we’ll look into it for you. We don’t want emails to go undelivered! The cost of a missed enquiry from a broken contact form is almost always higher than the cost of fixing it.
